Commercial Housing Assistant

Location: Hybrid / Patch Based / Home

Salary: £30,000 – £35,000 p.a.

Reports to: Commercial Housing Portfolio Lead

Hybrid, 2 days in office(Business need)

Role Purpose

Support the delivery of high-quality housing and estate management services for market rent, shared ownership, and leasehold residents. Deliver outstanding administrative support and customer service, ensuring compliance with all policies and legislation.

Key Responsibilities

  • Provide responsive and professional admin support to the Commercial Housing Team.
  • Manage tenancy processes including referencing, Right to Rent checks, advertising, onboarding, and terminations.
  • Coordinate end-of-tenancy activities such as deposit returns and key collection.
  • Handle licensing applications (e.g., HMO) and maintain accurate tenancy records.
  • Monitor team inboxes and dashboards, resolving issues promptly or escalating when needed.
  • Ensure timely turnaround of void properties in coordination with internal teams and external partners.
  • Liaise with solicitors and other stakeholders for shared ownership completions.
  • Respond to resident queries and complaints, aiming for first-time resolution and excellent customer experience.
  • Contribute to performance reporting, data collection, and service improvement initiatives.
  • Support access coordination for repairs, compliance, and other service needs.
  • Uphold confidentiality and data protection protocols for sensitive resident information.

Operational Expectations

  • Maintain and update housing systems and documentation.
  • Support community engagement and resident involvement initiatives.
  • Raise purchase orders and monitor service budgets as required.
  • Address safeguarding concerns and escalate when necessary.
  • Flexibly cover colleagues and support out-of-hours work when needed.
  • Follow all health and safety guidelines and contribute to a safe working environment.

Person Profile

  • Strong administrative and organisational skills
  • Excellent communication and customer service focus
  • Previous experience in a Lettings, Market Rents or Estate Agents
  • Proficient in housing systems and Microsoft Office
  • Knowledge of housing legislation and tenancy processes
  • Ability to work independently, manage a varied workload, and respond to unexpected challenges
