Events Administrator

Our client is seeking two Events Administrators to join their team on a 6 month contract. Based in Central London, this role offers a flexible hybrid working arrangement, with two days in the office and three days working from home. This is an excellent opportunity for individuals with strong organisational skills and an interest in events to support the planning and delivery of a range of engaging in person and online events.

Main responsibilities

You will undertake a wide range of administrative processes to support the planning and delivery of events, acting as the first point of contact for event related enquiries.

Responsibilities include sending event communications such as speaker invitations, reminders, and confirmations, as well as monitoring email inboxes, responding to queries, and updating records.

Process delegate and speaker registrations, including handling payments and refunds, and produce promotional emails and other marketing materials to support event promotion.

Manage and use social media platforms to publicise events, and create and update event webpages.

Prepare event materials such as badges, delegate packs, course materials, and attendee lists, and attend in person events to provide onsite support where required.

Produce reports from databases to support event evaluation and record keeping.

In addition, technically produce online events by managing cameras, microphones, and the overall running of the event, conduct technical tests with speakers in advance to ensure connectivity and familiarity with the platform, and provide technical assistance to attendees to help them successfully access and participate in the event.

Person Specification

  • Excellent administrative skills and proven administration experience in a busy, customer-focused environment
  • Excellent telephone manner and an ability to manage a large volume of calls and emails
  • Ability to work flexibly under pressure while remaining calm and maintaining accuracy
  • Ability to deliver a high standard of customer service
  • Willingness to travel and stay away overnight
  • Enthusiastic and able to work as part of a team
