Role Purpose
The Corporate Services Assistant plays a key role in supporting the efficient operation of the organisation by providing administrative support across Human Resources, Corporate Services, Marketing, Communications and Digital Services.
The post holder is responsible for maintaining HR records, supporting recruitment and training activities, managing the organisation’s social media presence and website content, assisting with corporate governance requirements, and supporting office management functions. The role contributes to enhancing customer engagement, maintaining compliance with regulatory requirements, and ensuring the smooth operation of day-to-day business activities.
Coordinate recruitment processes, including advertising vacancies, issuing application packs, arranging interviews and preparing employment contracts.
Maintain accurate personnel records, including annual leave, sickness absence and flexible working records.
Coordinate staff and board training activities and maintain training records.
Liaise with external training providers and consultants.
Prepare payroll information and liaise with the Finance team regarding salary administration.
Ensure HR records are managed in accordance with GDPR and data retention requirements.
Maintain confidentiality in all aspects of HR administration.
Manage and develop the organisation’s website, ensuring information remains accurate, relevant and up to date.
Maintain an engaging social media presence in line with the organisation’s digital strategy and social media policy.
Respond to social media enquiries and promote organisational activities and achievements.
Assist in the production of newsletters, annual reports and promotional materials.
Liaise with designers, printers and other suppliers regarding publications and marketing resources.
Support office management activities, including procurement of stationery, office supplies and other resources.
Assist with Health and Safety administration, including training records and certification.
Support Freedom of Information processes and monitor corporate mailboxes.
Assist with GDPR compliance and records management.
Contribute to the monitoring and reporting of key performance indicators.
Provide administrative cover for colleagues during periods of absence.
Assist in the preparation and implementation of service improvement plans.
Develop positive working relationships with colleagues, customers and external stakeholders.
Attend training and development activities as required.
Attend occasional evening meetings where necessary.
Undertake any other reasonable duties appropriate to the role.
