As the Administration and Facilities Assistant, you will support the day-to-day administration, health and safety, and facilities management of a busy centre, helping to ensure the office and member areas operate smoothly and efficiently. This is a varied role requiring strong organisational skills, attention to detail, and the ability to manage a broad range of administrative and practical tasks.
On the administration side, you will assist with purchasing, stock control, donations, and deliveries, and will regularly work with spreadsheets and data to maintain accurate records. You will update and manage member information using internal databases and be comfortable learning and using different software systems. You will also contribute to promoting the centre both internally and externally by collaborating with colleagues and producing engaging, high-quality materials such as leaflets using tools like Canva.
On the facilities side, it will include supporting the smooth running of the building. This includes carrying out health and safety checks, supporting with recycling and operating equipment such as washing machines, receiving and organising deliveries, and liaising with contractors. You will also assist with practical tasks across the site and be willing to learn new processes, including on-the-job training for equipment testing and systems such as panic alarms.
The role requires someone who is practical, proactive, organised, and willing to get involved wherever needed to keep the centre running effectively.
This position is 33 hours per week, with a degree of flexibility. Core hours are 10:00am-4:00pm, with the remaining hours worked flexibly across the week (approximately 6 hours 36 minutes per day). There may occasionally be a need to start earlier (around 8:00-8:30am) depending on operational needs, the role is 1 day from home and 4 days in the office.
Due to the nature of the role, an Enhanced DBS check is required, as the postholder may at times be working independently in the building while members are present.
