Pentagon Talent have partnered with a top 50 US London based Law firm, operating on a global capacity. My client is seeking an enthusiastic and skilled Working Capital Controller, with 8+ years worth of legal experience with a strong understanding of Billing, Revenue and cash collections.

The Senior Billing Coordinator will report into a seasoned Billing Manger who has extensive experience in the firm’s processes. Working closely with the Billing manager and other team members the successful Senior Billing Coordinator will be responsible for liaising with various internal departments and senior stakeholders across the business to ensure bills are sent out accurately and in a timely manner.

Duties/Responsibilities of the Legal Senior Billing Coordinator

· Drive the billing and collection process to ensure accurate and timely invoicing and client payments for assigned partners, groups, and offices.

· Monitor monthly aging reports and take action to ensure invoices are paid in full and on time; direct teams to follow up on underpayments and assist with resolution where required.

· Update finance reports (such as projections and billing/collections comments) daily to support timely and accurate reporting for management.

· Manage more complex billing matters, ensuring accuracy and adherence to timelines.

· Follow up with partners and escalate billing or collection issues and delays when necessary.

· Respond to billing and collections enquiries, including preparing bills with narrative descriptions, transfers, and on-account applications, ensuring accuracy and attention to detail.

· Review statements of expense, billing arrangements, and billing frequency to advise and support partners.

· Obtain and review engagement letters and client guidelines to ensure compliance; check time entries and costs to confirm alignment with client requirements.

· Collaborate with internal teams, including pricing and e-billing, to ensure invoices meet submission and reporting standards.

· Coordinate and lead regular meetings with partners (for example, monthly) to review billing and collections.

· Monitor bill processing and perform follow-up as needed.

· Ensure successful submission of e-billing through internal systems or third-party vendors.

· Work with finance teams to identify and implement efficiencies in billing processes.

· Assist with validation and testing during billing system or report upgrades.

· Support client account teams with day-to-day operations in line with firm policies and procedures.

· Contribute to ad hoc client analysis projects and manage a portfolio of complex matters and special projects when required.

· Document partner requirements, including key client expectations around billing, collections, and fee arrangements, to enable streamlined collaboration, clarity, and effective coverage within the team.

Desired experience of the Legal Senior Billing Coordinator

· Experience working in Billing Coordinator role within the legal sector

· Knowledge using legal finance software e.g Aderant/Elite

· Strong use of MS packages (Excel, Word and Powerpoint)

· Strong communicator

· Excellent Multitasker

· Can do attitude

· Able to work independently

· Flexible

· Strong team player

· Knowledge using E-billing systems
