Pentagon Talent have partnered with an International US Law firm, operating on a global capacity. As a well established law firm, my client is seeking a dynamic Senior Billing Coordinator to join their finance team.
The Billing Coordinator will report into a seasoned Finance Director who has extensive experience in the firm’s processes. Working closely with the Finance Director and other team members, the successful Senior Billing Coordinator will be responsible for liaising with various internal departments and senior stakeholders across the business to ensure bills are sent out accurately and in a timely manner.
Duties/Responsibilities of the Senior Billing Coordinator
· Manage the end-to-end billing process for assigned billing attorneys, including distribution, logging, preparation, processing, and dispatch of client invoices.
· Deliver timely and accurate support to attorneys, clients, and staff by resolving complex billing issues and providing billing analysis and adjustments.
· Investigate and respond to billing-related queries, both historical and current.
· Offer training and guidance to new billing attorneys to ensure adherence to firm billing procedures.
· Review and summarise engagement letters, highlighting any special financial arrangements.
· Maintain billing system data, including custom fee structures and rate setups, in line with firm policy.
· Process time transfers, write-offs, credit notes, and invoice reversals in compliance with internal controls.
· Prepare and present billing history and trend reports to support informed decision-making.
· Assist the Senior e-Billing Specialist in generating and submitting electronic invoices via client portals, and follow up on rejections to secure timely payments.
· Collaborate with Senior Revenue Coordinators on revenue and WIP management.
· Monitor and manage aged WIP by generating reports for Partners and Timekeepers.
· Liaise with the Finance Department to confirm client account balances on a weekly basis.
· Support the delivery of statutory, SRA, and internal audits.
· Mentor and train new Billing Specialists as required.
· Provide billing cover during team absences and perform other ad hoc duties as needed.
Desired experience of the Senior Billing Coordinator
· Flexible and available to work overtime when required.
· AAT qualified (or equivalent certification).
· Extensive experience in legal billing within a law firm environment.
· Strong understanding of the Solicitors’ Accounts Rules and VAT regulations.
· Experience with 3E and electronic billing platforms is highly desirable.
· Solid knowledge of key finance principles, including accounts receivable, accounts payable, internal cost allocation, billing rates, and client data maintenance.
